Supply teacher payroll records
Please be aware that where your supply payroll records are managed by Norfolk County Council (NCC), your payroll record will be terminated if it is inactive for 1 year or more. This is in line with HMRC requirements.
To ensure HMRC compliance, the NCC Payroll team run termly reviews to identify any supply teachers who have been inactive for one year or more. Reviews are undertaken by NCC payroll, every December, April and August, with the termination date being set for the end of the month. Please note this exercise does not impact any agency work you have undertaken in a Norfolk school or where NCC payroll is not the payroll provider for the school you have undertaken supply work for.
What this means for you
- Separate records for each school: Each time you undertake supply work in a school, a separate payroll record is created. If you haven’t undertaken supply work in a particular school, at any point within the reporting period (one year), that specific record will be terminated – even if you’ve worked in other schools during that time. You may have multiple records, because you have undertaken supply work in multiple schools. If this is the case each record will only be terminated if you haven't worked within those schools during the reporting period (one year).
- P45: If you have not worked in any school for a year your payroll record is terminated. A P45 will be automatically generated and sent to you.
- No work in any school: If you haven’t worked in any school for a year or more, your myOracle payroll account will be closed. Should you subsequently gain supply work you will follow the usual claim procedure and be prompted to create a new myOracle account and re-enter your bank details. This is a quick and easy process.
- Regardless of the above, your Teacher Booker profile remains active: These changes do not affect your profile on Teacher Booker. You will remain listed as a supply teacher on the NSR.
Example scenario
You undertake supply work in school A in the first term of the 2024/5 academic year (Autumn term 2024) but don’t return there before the termly termination report is run after the Autumn term 2025, meaning a whole year has passed without you working in that school. You also undertake supply work in school B during both the Autumn and Spring term. This means your record for school A will be terminated but not school B when the termly termination report is run in Autumn 2025. As only one of your records is terminated, leaving one open, your myOracle account will remain open.
